Entry Policy

Healthy Life Activities have set out clearly below it’s policy in relation to athletes that enter it’s races. This is to avoid any confusion or disappointment in the event of any changes that may occur to an organised race. It also sets out the standards of behaviour expected at it’s races.

The refund policies differ slightly between our running events and our triathlon events which reflects the higher entry fees for the Triathlon events.

Running Events

No refunds will be given to entrants once the event has been entered. If Healthy Life Activities receives notification at least one month before the event date then we will consider transferring the entry to the following year’s event. If there is an increase in entry fee then the athlete will be invoiced accordingly for the difference.

Triathlon Events

-  A full refund will be given if Healthy Life Activities receives a request from the entrant with at least 3 months to go before the event     starts.
-  A 50% refund will be given if Healthy Life Activities are notified within 2 months of the events start.
-  If a request is received with 3 weeks remaining before the start date then we will consider transferring your entry to the same event the following year.
- No Refunds or Transfers will be proivded if a request is received with less than 3 weeks to go before the event start date.

The following applies to all events.

 For cancellation, . In this instance, entry fees shall be refunded in full by Healthy Life Activities upon request. Refunds shall be paid within 60 days of the written request by the competitor to the organiser for the refunded monies and shall be made by company cheque from Healthy Life Activities payable to the individual requesting the refund. These refunds shall be made to the person requesting the refund only and not as team aggregate amounts.

EVENT POSTPONEMENT … A refund may not be requested if an event is postponed for reasons to include … severe weather conditions including snow and ice. Disruption caused by snow and ice that can affect mass travel to the event or that makes the event course too dangerous to use is considered reason to postpone the event.

If an event is postponed, the details of the postponement will be on the events sites home page before the start time of the event … (event race start time). There will also be reasonable attempts by the event organiser to contact the participant in respect of postponement by phone and or email. Participants are advised to monitor the status of the event at regular intervals leading up to the event.

With reference to bad weather we will consult fully with the Emergency Services and take on board there advice and recommendations.

Any postponed event, will be rescheduled within a reasonable time frame from the original date.

EVENT CHANGE OF DATE AND TIME … Healthy Life Activities reserves the right to be able to change the date of any future event up to 3 months before the original publicised details for the event. Notification of any changes will be made on this web-site and by email to the already entered participants. HLA cannot be held accountable for any email that is not received by the participant.

EVENT RELOCATION … no refunds shall be given if the event is re-located within an area of 50 miles radius of the initial published event location.

Entries may be transferred between categories
up to 30 days prior to an event, provided any additional costs that are relevant are paid in full.

Entry classes attract podium prizes: A class is defined when at least three entries of the same designation start the event.

EVENT EQUIPMENT … where equipment is provided to competitors, all reasonable care is expected to be exercised by competitors over this equipment. If it can be seen that competitors damage equipment maliciously or where negligence has been show in the care of such equipment, the organiser reserves the right to be compensated in respect of this equipment to the tune of the replacement value of the goods.

Where Sport Ident and/ or other timing equipment are issued to competitors to wear during the event, the organiser expects these to be returned post-event. Where they are not returned, the competitor shall reimburse the organiser for the replacement value of the goods … eg … for timing chips up to £20.

The acquisition of essential equipment in order to take part in an event is the responsibility of the entrant, and we would advise that these acquisitions are secured before entering the event.

THE ORGANISER … unless otherwise stated, shall be known as Healthy Life Activities.

REFUND POLICY … Refund policy is subject to change at the discretion of the organiser and such changes shall be published within this refund policy and/ or on the website of the event to which the change applies.

T&C … The terms and conditions of this refund policy does not affect your statutory rights as a consumer.

The acquisition of essential equipment in order to take part in an event is the responsibility of the entrant, and we would advise that these acquisitions are secured before entering the event.

Healthy Life Activities has a zero tolerance policy towards any abusive language used by entrants and directed at marshalls, and any volunteers associated with it’s races. If any such action is reported to the Race Organiser the entrant will be disqualified with no refunds provided.

BAG STORAGE … If a HLA event offers bag storage facilities for the participants, all items stored will be completely at the owners risk, Healthy Life Activities will in no way be responsible for any loss or damage incurred to any participants belongings at the event and within the bag storage area

LOST AND FOUND … There is no lost and found facility at any HLA event. Healthy Life Activities will be in no way accountable for any item lost at any HLA event.
